CARDI needs a logistic Officer

LOGISTICS/COMPOUND OFFICER (Code: L/CO – CL)OVERALL RESPONSIBILITY

Under supervision of the Aceh Logistic Manager, The Logistic Officer will beresponsible in the overall Logistic related tasks for CARDI Aceh operation.

General Responsibilities
- Coordinate with owners of rental properties (office,car, etc.) and agencies (telecommunications, etc.);
- Coordination with international and national staffthe different needs for the day especially those which involve movements ofmaterials
-Report to logistic manager/Field Coordinator anythingunusual.
-Eventually trips to other field office will berequired, which may include overnight stays.
-Responsible for maintaining appropriate filing systemand record keeping of all logistics papers work.
- Responsible for recording of the movement ofmaterials from the store to the field office and houses.
-Monitor invoices and approve payment request vouchersin accordance with department budget.
-Prepare monthly, and if necessary, bi-monthly cashflow projection for Logistics.- Orientation of all new CARDI staff on Logisticprocedures
-Other duties as requested by supervisor
Procurement/Purchasing (working with Procurement assistant)
-Handling local procurement and controlling CARDIproject equipment, materials and supplies by processing the purchaserequest, quotation, bid analysis, purchase order, delivery report, andinvoice or receipt according to CARDI Procurement Procedures.
-Implement a procurement system in compliance withCARDI policies and procedures.
-Oversee a list of honest and reliable (accredited)suppliers.
- Ensure proper tracking of all outstanding PR’s andPOs and ensure spreadsheet is submitted to Jakarta monthly.
-Provide price list and quotes to logistic Managers inBanda Aceh.
-Verify purchase requests and purchase orders beforeforwarding for further action
Warehouse/Storage (working with Warehouse team)
-Responsible to control all CARDI warehouses andstorages
-Ensure that the stock records, bin cards andwarehouse ledgers are current and submitted weekly to Supervisor.
-Ensure inventory re-order point is determined incollaboration with project managers.
-Perform periodic spot-checks.
-Coordination of the load and unload of cargo.
-Ensure that goods and inventories are well secured.
Transport
-Responsible for vehicle management and control,including fuel, part consumption and service scheduling and keep the record
- Supervision and training of drivers and guards basedon internal CARDI policies and procedures and conduct regular meeting
-Coordination of vehicle movements.
-Ensure efficient procedures for delivery of goods andsupplies.
- Schedule timely and regular preventive maintenance ofall vehicles and generators.
- Review monthly reports on Fuel Usage, Mileage andSpares Expenditures by vehicle and check for accuracy.

Compound and Asset Management
-Ensure proper tracking of all CRDI assets includingmaintenance of asset listing. Perform quarterly physical check of assets andcheck report for accuracy. Submit monthly to Supervisor and BAMO.
-To consolidate and maintain CARDI Assets List andInventory as well as to prepare semi/annual Assets and Inventory report
-To ensure that all CARDI Assets and Properties areinsured with reputable and reliable insurance company.

Safety and Security duties
-If necessary, set up communication network and ensureit is working efficiently, including Codan radios.
-Ensure all staff has security training and arefollowing security procedures and policies.
-Supervise the effective work of guards and othersecurity measures implemented.

Qualifications:
-University Degree and/or two years in logistics andprocurement experience in humanitarian aid programs.
-Proven office organizational skills necessary
-Knowledge of and adherence to INGO Code of Conduct.
-Proficiency in English (spoken and written)
-Computer literate in MS Word and MS Excel and E-mail
-Ability to work in and contribute to team buildingenvironment.
-Ability to cope with more than one task at the sametime and as part of a team as well as to work autonomously when required
-Able to work with all levels within the organization
- Able to use initiative and make appropriate decisions
-Highly responsible, reliable, honest and punctual.
-Good interpersonal, organizational and communicationskills
